Before you start
- Know your expected return date and the colleague (name and contact) covering urgent matters.
- Have access to the phone app or web portal you use (Zoom, Teams, or your desk phone).
- If you need IT to enable forwarding or change settings, note the alternate contact and dates to provide.
How to change your voicemail
A. Zoom Phone (Web portal)
- Sign in to the Zoom web portal (zoom.us) with your company account.
- Open Phone > Voicemail.
- Under Greeting, choose âRecord new greetingâ (or âUpload greetingâ if you have a preârecorded file).
- Record using your microphone or upload a WAV/MP3 file, then save.
- Test by calling your extension or having a colleague call to confirm the greeting is active.
Zoom Phone (Desktop or Mobile app)
- Open the Zoom app and go to Phone.
- Tap/Click Voicemail.
- Select the Greeting or Settings option, then Record or Upload.
- Save and test.
B. Microsoft Teams
- Open Microsoft Teams (desktop or web).
- Click Calls (or your profile > Settings > Calls) and choose Voicemail.
- Select âRecord a greetingâ or âManage voicemailâ and follow prompts to record and save.
- Optionally set call answering rules: forward calls to a colleague or voicemail directly while youâre away.
- Test by calling your number.
C. Desk phone (SIP/physical office phone)
- Dial your voicemail access number (or press the voicemail button).
- Enter your PIN when prompted.
- Choose the option for greetings (often âpersonal greetingâ or ârecord greetingâ).
- Follow voice prompts to record and save the vacation greeting.
- Test by calling from another line.
D. Generic web/portal method (if your phone vendor differs)
- Sign into the phone systemâs web portal (or app).
- Find Voicemail or Greetings.
- Record or upload your vacation greeting and enable it.
- Save and test.
Optional: Set call forwarding or delegation
- If you expect urgent calls, forward your number to a covering colleague or the team phone during your vacation (Settings > Calls > Call forwarding).
- For Teams/Zoom, you can set a forwarding rule or team answer point. Provide the cover personâs name and number in your greeting if you prefer not to forward.
